1、 Functional Features
1. System settings
The basic information settings for this software include: membership level settings, wardrobe settings, employee settings, backup and recovery database, operator settings, and other settings.
2. Product Settings
Mainly responsible for the management of basic product information, product procurement, and product returns, and can query the sales situation of procurement, returns, and sales.
3. Statistical report
In the statistical report, member consumption, business situation, wardrobe rental situation, membership consultant performance, records of exchanged goods, and member visit situation can be queried and statistically analyzed.
4. Membership Management
Mainly for basic information of members, recharge status, event reminders, member leave requests, and private teaching management.
5. Member consumption
This function can manage member card swiping registration and member consumption of goods in the store. At the same time, it can also manage the exchange of goods, recharge, and private teaching.
6. Front desk access control
This module is a separate program for member card registration, which can determine whether to release or ask for leave, expiration and other prompts based on the member's situation.
2、 System requirements

3、 Operation process
Step 1:
Go to "System Settings", click on "Other Settings" to set the software's parameters, and then use the "Clear Database" function to clear the software's built-in demonstration data. Go to "Membership Level Settings", "Employee Settings", "Operator Settings", and "Wardrobe Settings" in sequence to make the necessary settings.
Step 2:
Go to "Product Settings", click on "Product Basic Information" to add the products to be sold, and then click on "Product Purchase" to purchase the products.
Step 3:
Enter "Member Management", click on "Member Basic Information" to add members based on their situation. If members need to recharge, they can click on "Member Recharge".
Step 4:
Entering 'Member Consumption' allows members to swipe their cards for registration or purchase goods.
Step 5:
You can also open the "Front Desk Access Control System" to register for membership card swiping.
4、 Detailed description of each function
1. System main interface
After successfully logging into this system, you will enter the main interface of the system. In the main interface, you can see that the software is divided into five modules: "Member Consumption", "Member Management", "Statistical Reports", "Product Settings", and "System Settings".
2. System settings:
The system settings can be divided into six parts: membership level settings, backup and recovery database, wardrobe settings, employee settings, operator settings, and other settings.
2.1 Membership Level Settings
Click on "Member Level Settings" in the system settings to enter the Member Level Settings window as shown in the figure:
This function is mainly used to set the level type of the membership card. The main contents of the settings include: membership card number, membership card name, number of valid times, number of valid days, the price of the card, the discount when the card consumes goods, and whether the card can be used during a certain period of time. If it is not used during this period, the card cannot be used.
2.2 Backup and restore database
Click on "Backup and Restore Database" in the system settings to enter the backup and restore database window as shown in the figure:
This feature is divided into three functions: backing up data is to backup the currently used database to a specified directory, or it can be set to automatic backup. It is recommended that users backup frequently to avoid data loss in case of computer failure.
Data recovery is the process of restoring previously backed up files to the current system.
If the program runs slowly due to a large database, this function can be used to compress and repair the database. It is recommended that users regularly compress and repair the database, which can greatly benefit the database.
2.3 Wardrobe Settings
Click on "Wardrobe Settings" in the system settings to enter the wardrobe settings window as shown in the figure:
This function is mainly used to manage wardrobes. When adding wardrobes, simply enter the starting number, ending number, prefix of the number, wardrobe name, deposit, and remarks to batch add wardrobes. For example, if the starting number is 1, the ending number is 99, the prefix of the number is N, and the wardrobe name is [number+wardrobe], 99 wardrobes can be added, starting from N01 to N99.
2.4 Employee Settings
Click on "Employee Settings" in the system settings to enter the employee settings window as shown in the figure:
This function mainly manages the information of all employees, including their names, positions, contact phone numbers, contact addresses, statuses, and remarks. The personal trainers and membership consultants in the positions are default and cannot be modified or deleted by the system.
2.5 Operator Settings
Click on "Operator Settings" in the system settings to enter the Operator Settings window as shown in the figure:
This function is mainly used to manage the operators who use this software. When adding operators, different permissions can be assigned to different operators as shown in the figure:
Operator permissions can be divided into five main parts, each of which can be further subdivided into more detailed permissions.
2.6 Other Settings
Click on "Other Settings" in the system settings to enter the other settings window as shown in the figure:
In this module, users can set different parameters according to their own needs.
3. Product Settings
Product settings can be divided into: "Product Basic Information", "Product Inventory Query", "Product Procurement", "Product Returns", "Product Procurement Query", and "Product Consumption Query".
3.1 Basic Product Information
Click on "Product Basic Information" in the product settings to enter the product basic information interface as shown in the figure:
This function is mainly for managing product categories and basic product information. First, right-click on the menu in the left list to create the corresponding product category, and then click the add button to add product information. In the add product information window, as shown in the figure:
Inventory goods refer to goods that are in stock and can be increased or decreased in quantity through purchase and sales. They are actual goods that exist. Non inventory goods refer to goods that are not in stock, such as service goods. This product can be redeemed with points, which means that the added product can be redeemed with points.
3.2 Product procurement
Click on "Product Procurement" in the product settings to enter the product procurement interface as shown in the figure:
Double click on the product in the list on the left in the product purchase interface, and enter the purchase unit price and quantity in the pop-up "Purchase Product Add" window.
3.3 Product Returns
The specific operation is the same as the procurement operation.
3.4 Product inventory inquiry
Click on "Product Inventory Query" in the product settings to enter the product inventory query interface as shown in the figure:
In this window, the inventory status of all products will be displayed, and users can filter different product information based on product category, product number, or name. Click 'View Details' to view the detailed information of the selected product's purchase, return, sales, and other related details.
4. Statistical report
4.1 Membership Consumption Statistics
Click on "Member Consumption Statistics" in the statistical report to enter the member consumption statistics interface as shown in the figure:
In this window, you can search for the records of member consumption products based on the query date and member number or name, and you can click "Print" or "Export" to print or export the queried records.
4.2 Business report
Click on "Business Report" in the statistical report to enter the business report interface as shown in the figure:
In the business report window, it is mainly divided into membership recharge status, membership consumption status, purchase of private education status, and comprehensive situation. Users can choose to query different records for the current day, current month, or custom settings.
4.3 Wardrobe Management
Click on "Wardrobe Management" in the statistical report to enter the wardrobe management interface as shown in the figure:
In wardrobe management, it mainly includes wardrobe status and wardrobe rental records. The wardrobe status displays the current status of all wardrobes. If it is rented, it shows which member has rented it and the expiration date.
4.4 Membership Advisor Performance
Click on "Membership Advisor Performance" in the statistical report to enter the Membership Advisor Performance interface as shown in the figure:
In this window, the performance of all membership consultants can be queried, which is divided into three parts: membership consultant performance details, membership consultant performance, and displayed in charts.
4.5 Exchange commodity statistics
Click on "Exchange Product Statistics" in the statistical report to enter the exchange product statistics interface as shown in the figure:
In this window, users can query the redemption status of all members, and filter the corresponding records based on the statistical date and membership card number or name.
4.6 Member Visit Statistics
Click on "Member Visit Statistics" in the statistical report to enter the member visit statistics interface as shown in the figure:
The main statistics in this window are the registration of member visits, which can be divided into member visit details, member visit summary, recent member visits, and customer traffic analysis.
The member visit details are mainly displayed in the form of a journal, showing the time of each member registration and the type of membership card.
The summary of member visits shows the number of times each member visited during a certain period of time.
How many days have passed since a member last visited.
Customer traffic analysis displays member visits in the form of charts.
5Member Management

Member management mainly includes basic member information, member recharge statistics, event reminders, member leave management, and private education management.

5.1 Basic Membership Information
Click on "Member Basic Information" in the statistical report to enter the member basic information interface as shown in the figure:
In this window, basic information of members can be added, modified, deleted, recharged, and other operations. Click the "Add Member" button to open the add member interface as shown in the figure

Enter the corresponding information of the member in this window, and the member's photo can be directly taken from the camera.
Click the "Member Payment" button to open the member payment window as shown in the figure

If the membership card expires or is about to expire and you want to continue using it, you can use the membership card to pay. If a member wants to recharge their card, they can choose to recharge with a stored value card for future purchases. The function of adding price difference and changing levels is: if this function is selected, when changing membership levels, only two levels of price difference need to be added to exchange for a new level. The deadline will be recalculated based on the card opening date, and the cumulative number of times will also be recalculated, which is suitable for members who change membership levels. If this feature is not selected, the deadline will be added to the previous deadline Suitable for renewing members.
5.2 Member recharge statistics
Click on "Member Recharge Statistics" in the statistical report to enter the member recharge statistics interface as shown in the figure:
The corresponding member recharge status can be displayed in the window based on the date.
5.3 Event Reminder
Click on "Event Reminder" in the statistical report to enter the event reminder interface as shown in the figure:
The left side of the window displays the membership card level, the upper right half displays all members, and the lower half displays the reminder records of the currently selected member. Select a member and click "Add Reminder" to open the reminder window as shown in the figure:
Select the reminder type in this window, enter the reminder time and content.
Click on the "Reminder Query" tab to open the reminder query page, where you can query all reminder records based on conditions.
5.4 Members' Leave Request
Click on "Member Leave" in the statistical report to enter the member leave interface as shown in the figure:

All members who are on leave displayed in this window can click the add button to add their leave records. If a member is on leave for 30 days, the expiration date of the membership card will be automatically pushed back 30 days. During the period when the member is on leave, the membership card cannot be swiped for registration.

5.5 Private Education Management
Click on "Private Education Management" in the statistical report to enter the private education management interface as shown in the figure:

Private education management can be divided into two parts: private education purchase and private education consumption. The first page is for purchasing private education. On this page, users can purchase private education for each member. The summary of member purchases of private education is displayed on the left side of the window, and the detailed records of the selected member's private education are displayed on the right side. The second page is about private education consumption.
6 member consumption
Click on "Member Management" to enter the main interface of member consumption as shown in the figure:
Enter the membership card number in the text box after entering the membership card number to query the corresponding member, and the basic information of the member will also be displayed. If the membership card expires, or if the member requests leave, the system will provide corresponding prompts. On the "Member Consumption Record" page, the left side displays the record of member registration, and the right side displays the record of member consumption of goods. In the "Member Consumption" interface, member recharge, member reminder, product redemption, and private education management operations can also be performed.
7 Front Desk Access Control
Front desk access control is a separate program that can be installed on any machine in the local area network. The main function of this program is to register members by swiping their cards. The main interface is shown in the figure below:

After a member swipes their card, their basic information will be displayed. If the membership card expires or the member takes a leave of absence or other special circumstances occur, the system will prompt them. The record of the member's registration is displayed in the bottom left corner of the interface, and the photo of the member is displayed in the bottom right corner.
